Student Pass (Visa)
Visa Application Process for New International Students
Non-Malaysian students residing in Malaysia, aged between 3 and 18 years, are required to apply for a student pass.
The school has appointed an External Visa Agent to assist with the application, renewal, and cancellation of student and guardian passes. The visa processing service fee, charged by the appointed External Visa Agent, is not included in the school fees. These fees are applied once per successful application. Should the family require or request a second application, the fees will be charged again at the same rate.
Since January 2019, the Malaysian Immigration Department has implemented the following requirements for new student pass applications and renewals:
- All new student pass applications must include a personal bond guarantee. The personal bond will be collected and kept by the school and will be refunded upon cancellation of the Student Pass.
- All new and renewal student pass applications must be accompanied by proof of existing or new Malaysia medical insurance coverage.
All passports must have a validity of at least two years or more.
Requirements and Process:
- International students aged 3 and above must have a valid Student Pass during their schooling period in Malaysia.
- The school will assist in applying for the approval letter from the Ministry of Education (MOE). For students transferring from another school in Malaysia, a release letter from the existing school, the latest passport data page, and a current student pass are required.
- Documents such as birth certificates, marriage certificates, divorce certificates, single status certificates, and custody/legal certificates must be translated and endorsed by the Embassy of the country of origin or the Malaysian Embassy in the country of origin.
- Please find the checklist of documents here.
Student Pass Application/Renewal Procedures:
- A school letter issued by the school must be attached to other required documents.
- The Student Pass, if approved, is valid for one year. Applications must be submitted at least three months before the expiry date.
Cancellation of Student Passes:
- Student passes from previous international schools in Malaysia cannot be transferred to other schools.
- To transfer, the current student pass must be cancelled. The External Visa Agent will process the cancellation using the MOE support letter from the new school, and the school will assist in preparing the school letter.
- If the student is withdrawing from school and leaving Malaysia, cancel the current Student Pass to avoid future re-entry problems. Provide the school with departure dates, flight tickets, itinerary, or boarding pass at least six weeks in advance.
Dependant Passes:
- Students with dependent passes do not require a student pass. These students are typically the dependent children of expatriates working in Malaysia.
- With the approval of the dependent pass, the Malaysian Immigration Department will stamp “Permission to Study” on the passport.
- Children under the MM2H programme can study without a Student Pass but still need the “Permission to Study” stamp.
Guardian Pass:
- Parents, family members, and legally appointed guardians of international students (without Employment Pass) can apply for a Guardian Pass.
- Submit the application after the student pass is approved. Approval is at the discretion of the Immigration Department.
Transfer Endorsement of Student Pass:
- Inform the school if the students have changed to a new passport and the current student visa is still in the old passport.
- The external visa agent will assist in transferring the endorsement of the student pass. This transfer process will take approximately five working days.
Important Reminders:
- Health insurance with Malaysian coverage is required for all student pass and guardian pass applications and renewals.
- The student’s passport must remain valid throughout their stay in Malaysia.
- Stonyhurst International School Penang does not accept passports with expired social passes, special passes, dependent passes, MM2H visas, or student passes from previous schools.
- Families are responsible for monitoring visa expiry dates and paying any fines imposed by the government for overstays.
- Incomplete documents will result in application rejection.
- The Immigration Department may request additional documents at their discretion.
- Failure to renew the student pass promptly may result in penalties or deportation.
